A lot of travelers have gotten used to going in and out of other countries with just their passports. Many do not even realize that sometimes you need more than just your passport to enter other countries.
In some countries, travelers – whether for pleasure and/or business – need a VISA, an official authorization that is appended to a passport which gives you permission to enter and travel within a country or region.
Believe me, visas could cause you a lot of headache, if you do not follow instructions to the letter. I’ve had trips to China and Russia postponed several times due to my inexperience and inability to provide the embassy the correct requirements needed.
Embassies and Consulates have different requirements which needs to be submitted. Along with the official visa application form, some of them also could require some of these, in addition: an official invitation, return tickets, photos, hotel confirmation, complete details regarding terms and purpose of visit, an HIV test (!), passport that is valid 3 or 6 months beyond the dates of travel and/or some other documents.
Of course, visa processing fees need to be paid, as well. For most, you get to choose the processing time. Expedited or while you wait visas are, of course, more expensive.
It is important to read the visa requirements and regulations. Submission of incomplete documents may sometimes mean an even longer visa processing time (as I have experienced) or, worse, a denied visa application.
It is always best, imo, to hire an accredited visa service company. That way, you know for sure that you have followed all the rules.
Note that there are also countries wherein visas are not required if you stay up to a certain number of days. However, if you expect to go on an extended business trip and would likely go beyond the non-visa stay, it is best to apply for a visa.
For US Citizens, you can check Travisa for the list of countries wherein a visa is required.
